How to use the Portal

Everything you need to set up your organisation, create challenges, and run company or club-wide fitness competitions.

Step 1

Register your organisation

The portal is for organisation admins only.
If you're part of an organisation and want to join an organisation or challenge, download the Pushi app and follow the guide here

Go to the registration page

Visit portal.pushi.fitness/register-organisation and fill in your organisation name, your name, and your organisation email address. Choose a strong password and accept the Terms & Conditions.

Verify your email

A verification link is sent to your email address. Click it to activate your admin account. Once verified you can sign in at portal.pushi.fitness/auth/login.

Sign in to your dashboard

After signing in you'll land on the main dashboard, which shows a summary of your organisations, active challenges, and total members at a glance.

Step 2

Set up your organisation

Before creating challenges, spend a couple of minutes configuring your organisation, from adding a logo to billing address for invoicing.

Your organisation domain

Your first domain is set automatically from the email address you used to register. If your people are spread across several domains, add and verify the others under Settings — anyone with a verified domain can then join.
Public email domains such as iCloud or Gmail are not supported.

How members join

Three routes, and you can use all of them at once: a verified email domain (members enter their work address and confirm by email), an organisation invite code for people whose email isn't on your domain, or a challenge join code that adds them to a specific challenge.

Open or approval membership

In open mode anyone who satisfies one of the routes above joins immediately. Switch to approval mode and every request waits in a queue for an admin to accept or decline — worth using for clubs and any org sharing a common domain. You'll need to clear the queue before switching back to open.

Add billing details

Go to Settings and fill in your legal company name, billing address, and tax ID (if applicable). These details appear on invoices generated when you publish a challenge, so it's worth completing them before your first payment.

Add a logo

Go to Settings inside your organisation and upload a PNG logo (transparent background, max 1 MB). The logo appears on challenge invites and member-facing screens.

Step 3

Segments & departments

Segments let you group members by department, location, team, or any other dimension — then run targeted challenges or filter the member view. Set these up before creating challenges if you want to restrict eligibility by group.

Create a segment type

Go to Segments in your organisation. Click New segment type, give it a label (e.g. "Department"), and choose whether members can belong to one value (single-select) or multiple values (multi-select).

Add values

Within each segment type, add the individual values — for example "Marketing", "Engineering", "Sales". You can add, edit, and toggle values active or inactive at any time.

Assign members

In the Member assignment table at the bottom of the Segments page, use the inline dropdowns to assign each member to the relevant values. Assignments appear as removable tags and update immediately.

For anything larger than a few dozen people, use the CSV import instead — upload a file of email addresses and their segment values to assign everyone at once. Rows for people who haven't joined the organisation yet aren't discarded: they're held as pending and applied automatically the moment that person joins, so you can import your full staff list before anyone has downloaded the app.

Use segments in challenges

When creating a challenge, expand the Eligibility Segments section and tick the values you want to include. Leaving everything unchecked means all members are eligible.

Step 4

Create a challenge

Challenges are the heart of Pushi. Each challenge runs for up to 31 days and gives every participant the same daily target to hit.

Open your organisation and click Create Challenge

You'll find the button at the top of your organisation's page. This opens the challenge builder.

Organisation or Global?

First choice in the builder:

  • Organisation — only members of your organisation can join. You can narrow it further with eligibility segments, and score it as a team challenge.
  • Global — open to anyone with the join code, no organisation membership required. Use this for gyms, clubs, events, conferences, or a public campaign where you can't put everyone on a shared email domain. Segments and team scoring don't apply, since participants aren't members.

Choose a challenge type

Pick from four types:

  • Complete — participants earn up to 600 Activity points per day, automatically pulled from Apple Health (iOS) or Google Health Connect (Android). Great for mixed groups — any wearable that syncs to either platform counts. Two options refine how points are earned: count Apple's Exercise minutes alongside logged workouts, and add an intensity bonus for vigorous effort.
  • Steps — set a custom per-day step target. You can adjust the target for each individual day, and mark rest days where no steps are required.
  • Distance — set a distance-based challenge. Choose between a daily distance target per person, a cumulative personal distance goal over the whole challenge, or a shared team distance goal for everyone to reach together. Set it up in kilometres or miles — participants always see distances in their own device's preferred unit.
  • Manual — for rep-counted exercises like push-ups, sit-ups, or pull-ups. Participants log their daily count against a target you set, so no wearable or health data is needed.

Set dates and rest days

Pick a start date (tomorrow at the earliest) and an end date up to 31 days later. You can also set the number of flexible rest days — personal rest days each participant can use without losing ground.

Configure the daily schedule

A row appears for every day of the challenge. For Steps challenges, edit the target for each day. Toggle a day to "Scheduled rest day" to set its target to zero for everyone.

Restrict by segment (optional)

If you've set up segments (e.g. departments), you can limit this challenge to specific groups — for example, a challenge just for the London office.

Make it a team challenge (optional)

Choose one of your segment types — Department, Office, Shift — as the team dimension, and Pushi scores the challenge group against group instead of individual against individual. The leaderboard ranks teams, and each member's activity contributes to their team's total.

This works well when fitness levels vary widely: someone who'd finish 60th out of 80 individually can still be visibly useful to their department. Members not assigned to a value in that segment type won't be counted, so check your assignments before publishing.

Save as Draft or Publish

A Draft challenge is private and invisible to participants — useful to check your settings before going live. When you're ready to publish, select a pricing tier and complete the payment. Once payment is confirmed the challenge is Published, the join code and share link are activated immediately, and members can start joining.

Tiers are priced by the maximum number of participants — see the pricing page for the full table. Start on the free Trial tier — up to 10 participants, once per organisation. It's there so you can run a real challenge with a small group first and learn the system before rolling it out more widely.

If you outgrow your tier

If a challenge fills up, you don't have to start again — upgrade it to a larger tier from the challenge page and pay the difference. The challenge keeps running, its join code stays valid, and everyone who has already joined stays put.

Step 5

Invite members to a challenge

Once a challenge is published, there are several ways to get people into it.

Join code

Each published challenge has a short alphanumeric code. Members open the Pushi app, tap Join a challenge, and enter the code. Simple for in-person events — just read it out or put it on a slide.

QR code

A QR code is generated automatically for every published challenge. Download it as a PNG from the portal and include it in emails, Slack messages, or office posters. Scanning it opens Pushi directly to the join screen.

Regenerating a code

If a code is shared too widely, you can regenerate it from the portal. The old code stops working immediately. Use the amber confirmation step to avoid accidentally locking people out mid-join.

Step 6

Monitor the challenge

While the challenge is running you can track participation and see who's competing.

Check the member list

Go to Members inside your organisation to see every participant, their role, join date, and any assigned segments. Use the search and filter to find specific people or groups quickly.

View challenge status

Back on the organisation page, each challenge card shows its current status badge — Draft, Published (active), or Ended. Use the search and filter bar to find specific challenges by name, status, or type.

View analytics

Click View Analytics on any published or ended challenge to see a full breakdown: overall leaderboard, daily activity chart, group health stats (Complete challenges), distance goal progress (Distance challenges), and standout participants — including the overall leader and the most consistent competitor.

After the challenge ends

Once the end date passes, the challenge status switches to Ended and final rankings are locked in the Pushi app. Participants can view results inside the app on the challenge leaderboard.

Billing & invoices

Pushi charges per published challenge — there's no subscription and no per-seat licence. See the pricing page for the full tier table.

Your currency

Pushi bills in euros, US dollars, pounds sterling, Australian dollars, or Swiss francs. One is picked from your billing country when you first set up, and you can change it under Settings. The currency is fixed onto a challenge when you create the draft, so the price you're quoted is the price you pay.

Tax

Listed prices exclude VAT and sales tax. Any that applies is calculated at checkout from the billing address in your organisation settings, so complete those details before your first payment.

Running several at once

There's no limit on concurrent challenges, and each is priced on its own. A company running one challenge for the whole business and another for a single department pays for two.

Refunds

A challenge is charged when you publish it, and refunds aren't available as a matter of course once one is live — so use a Draft to check your settings first. If something has genuinely gone wrong, email support@pushi.fitness and we'll look into it.

Finding your invoices

Access your invoices

Open your organisation page and click the Invoices button. All past payments are listed here with the date, challenge name, pricing tier, and amount charged.

Download a PDF

Click on any invoice to download a PDF copy. The invoice includes your legal company name, billing address, and tax ID as entered in your organisation settings — make sure those details are complete before your first payment.

Invoice retention

Invoicing records are retained for a minimum of seven years in accordance with applicable law. You can access them at any time from the portal, even after a challenge has ended.

Frequently asked questions

Does the Pushi app cost anything?

No. The Pushi app is free on the App Store. The optional Pushi Pro subscription only affects challenges people create for themselves and their friends; it makes no difference to your organisation challenges.

What devices work with Pushi?

On iOS, any app or device that syncs activity data to Apple Health works — Apple Watch, Garmin, Fitbit, Wahoo, Strava, and more. On Android (coming soon), anything that syncs to Google Health Connect is supported. Members need the Pushi app installed on their phone.

Pushi for Android arrives in August 2026 — worth factoring into the timing of your first challenge if your organisation is mostly Android.

Can people outside my organisation take part?

Yes — create a Global challenge instead of an Organisation one. Anyone with the join code can take part without being a member, which suits gyms, clubs, events, and public campaigns. The trade-off is that eligibility segments and team scoring don't apply, because those depend on membership.

Can I export the results?

Not from the portal today. Final standings stay visible on the challenge analytics page and in the Pushi app for participants, but there's no CSV or PDF download yet. If you need the numbers for a report, email support@pushi.fitness and we'll help.

Can I run multiple challenges at the same time?

Yes. You can have as many published challenges as you like running simultaneously, and members can join whichever ones they're eligible for.

What's the difference between a Draft and a Published challenge?

Draft challenges are invisible to participants — no join code is active. To publish, select a pricing tier and complete payment. Once paid, the challenge goes live immediately and the join code is activated. Note that publishing requires a payment — you cannot freely switch a challenge back to Draft once it has been published.

Can I edit a challenge after it's published?

Challenge settings such as dates and daily targets are locked once participants have joined to keep competition fair.

How do flexible rest days work?

Each participant gets a personal allowance of rest days you configure when creating the challenge. They can skip those days without their score being impacted. Scheduled rest days (set by the admin in the daily schedule) apply to everyone and don't use up a participant's personal allowance.
